The org-wide configuration
Link to this headingRooms, resources, event types, work types, vacation rules, seasons, groups, roles, and the audit log. Changes here reach the whole theatre — the audit log records who did what.
The admin overview
BASEThe overview shows pending work as clickable cards — timesheets awaiting review, disabled accounts, expiring logins, failed notifications — plus the latest audit-log entries.
Modules
BASESwitch modules on and off per organisation — disabled modules disappear from the sidebar and their routes 404. Six core modules are always on.
Organisation
BASEName, timezone, contact, default language, logo, and brand colour — plus the self-certification scheme and strict reservation mode. Deleting the organisation requires an export and has a 30-day grace period.
Branding
BASEA custom accent colour with auto-derived tones and a built-in contrast check — saving is blocked if the colour fails WCAG. Three upload slots for wordmark, favicon, and email logo.
Event templates
BASEBuild reusable templates for rehearsals, performances, and repeating patterns — global for the whole organisation, or tied to one production or one project.
Rooms & Spaces
BASEThe rooms planning happens in, grouped by category — main stage, rehearsal, meeting, off-grid. Each room has a short name, capacity, changeover buffer, and overlap rule.
Resources & Equipment
BASEBookable items — instruments, equipment, vehicles, and costumes — with a quantity available. Resources are booked on events, and the inventory warns on overbooking.
Event Types
BASEThe planner's vocabulary — each type has a colour, a short abbreviation for compact views, and can pre-select called departments. Types in use are deactivated, not deleted.
Work Types
BASEContract-style rule templates — hour targets and caps, overtime thresholds, break and rest rules, rounding, rotation patterns, and the swap rule. Each person is assigned one from their profile.

Averaging Period Templates
BASEReusable templates for working-time averaging — length in weeks, weekly target and max, and counted hours per week. Assigned per person from the profile's Work tab.
Vacation Policies
BASEA policy bundles the annual leave allowance, the carryover cap, and the day calendar — public, mandatory, and scheduled days. Attached to work types, with one policy as the org default.

BASEAllowance and carryover cap at the top; the day editor below adds single days or ranges as public, mandatory, or scheduled. Org holidays can flow in and be muted per day.
Reservation Reasons
BASEThe categories people are reserved under — training, sickness, parental leave — with a colour, leave category, and private flag. Private reasons show as "Blocked" to anyone without the permission.
Cost Centers
BASELabels for work without a production — administration, maintenance, training. Since 2026 a cost center is a project on the cost-center template; this register stays in sync.
Theatre Seasons
BASENamed periods — "2026 / 2027" — with start and end dates. Seasons frame holidays, averaging periods, and the planner's season view.
Holidays
BASEThe organisation's public and other days off, with source, season and group scoping — and automatic pulling of public holidays per country, kept fresh by a nightly job.
Groups
BASEThe person groups driving filters and permission inheritance, with role-category pills and a member overview. Groups can be marked administrative, and departments are their own group kind with their own page.
Departments
BASEThe org chart's units — departments with an optional hierarchy, used as the home department on people, the department tag on production roles, and the call and staffing unit in GrandPlanner.
The group page
BASEAdd and remove members, set the Member or Head role, and grant group permissions. Heads inherit extended rights for their group — removing the last head requires confirmation.
User Management
BASEEvery login account with system role, linked person, and account notices. Change roles per row or in bulk, deactivate accounts in bulk, and track expiry dates with the list badges.

BASEPrimary and additional roles, direct grants with scope and expiry, account status and expiry — plus a one-time password-reset link and a two-factor reset.
Roles
BASEThe system roles are built in; custom roles bundle permissions for common job titles. Implicit grants cover stage managers, production administrators, and group heads.
The role page
BASEThe permission matrix for one role — toggle individual permissions, see who holds the role as primary or additional, and delete custom roles. Changes hit everyone with the role immediately.
Audit log
BASEThree tabs — changes, denied attempts, and sensitive views. Every role and permission change with actor and timestamp, filters per tab, and CSV export.
The season and holiday calendar
BASEHow the calendar layers fit together — theatre seasons frame the year, holidays mark the red days, and vacation policies turn them into allowances and markers for each person.
Reading the audit log
BASEThree common tasks — finding who changed a permission, diagnosing a 403 from Denied attempts, and following up sensitive views. Filter first, read the details after.
