Event templates

Event templates capture the shape of a repeating pattern — its duration, attendee groups, work types, and default notes — so you can drop the same event into the planner without re-entering the details each time.

When to make a template

Make a template for any pattern that recurs at least three times in a season: performances, stage rehearsals, technical setups, recurring meetings. One-off events don’t need a template — the friction outweighs the gain.

Building a template

Open Admin → Event Templates and create a new one. Set:

  • Name — what planners see in the quick-plan panel.
  • Duration — start and end time.
  • Default room — optional; can be overridden at placement.
  • Attendee groups — who’s expected. Individuals can always be added on the event afterwards.
  • Work types — for correct routing into timesheets.

Three scopes of templates

Templates come in three scopes, and the quick-plan panel shows them together:

  • Global — the whole organisation’s library, managed under Admin → Event Templates. Marked Global in the panel.
  • Production templates — belong to one production and are managed from the production page’s template tab.
  • Project templates — belong to one project and are managed from the project’s Plan tab.
