Time planning
Timesheets → Planning is the week grid for shifts: people as rows, Monday to Sunday as columns. Events a person is called to — including project events, badged P — appear inside their shift, so planned time and actual commitments read together. Calls with no shift around them are marked Outside shift.
Managers and administrators see every active person, with a group filter; everyone else sees only their own row.
Placing and editing shifts
Link to this headingClick a cell to place a shift: person, date, start, end, and an optional label (“Tech setup”). Shifts carry a status — Planned, Confirmed, Declined, Pending, Rejected — with the colour codes in the legend.
If you place a shift on yourself as a regular user, it starts as Pending until a manager approves. You can only edit your own shifts while they’re still pending.
Select several shifts to call to an event together — the picker shows that day’s events in the person’s productions.
When the person isn’t free
Link to this headingPlacements are checked against reservations, rotation patterns, and availability:
- With strict reservation mode on (under Admin → Organisation), shifts on reserved days are blocked. Those with the override permission get the Override reservation / availability checkbox.
- Off-day rotation patterns from the work type block the same way.
- Collisions with event calls and standing unavailability are warnings — anyone can confirm through them with the same checkbox.
Shifts inside a locked payroll period can’t be created or moved.
Project and billing
Link to this headingEvery shift can be tagged to a project (cost centers are projects too) and marked billable, administrative, or inheriting the project’s default. The hours then land with the project dimension in approval and in reports.
