Placing events on the planner

The planner shows events across rooms, with five views in the tab strip at the top: Week, Month, Year, List, and Season. The week view is the working surface — it’s where you place and move events. The other views are for overview.

Choosing a view

  • Week — rooms as columns, days as rows. Full detail and all the placement tools.
  • Month — a dot grid where each day shows colour dots per event type. Click a day for a quick list of that day’s events, with a shortcut into the week.
  • Year — a density map of the whole period. See Year view.
  • List — a chronological read-through, grouped by day. Events that start and end at the same time merge as parallel.
  • Season — one line per production across the season’s months, with premiere and press night marked. Read-only.

Placing a one-off event

Click an empty cell in the week view to create an event without a template — you’re taken to New event with the date and room pre-filled.

Each event is a chip coloured by event type. Important events get a red edge. Private events are visible only to their creator and to users with permission to see private events — everyone else doesn’t see them at all.

Project events appear side by side with production events, with a dashed left edge and a small P, coloured by their project.

Under View settings (the gear) you can turn on Tint by production — chips are then coloured by production instead of event type, with a small type dot in the corner so the type stays readable. The choice follows your user across devices.

Room conflicts

Overlaps in the same room are flagged as you place. From the quick-plan panel you can override with Place anyway when the overlap is deliberate — the override is audited. See Resolving room conflicts for the full picture.
