Shift swaps

Shift swaps let colleagues exchange shifts without going through a manager for every detail. Start from your shift in the planning grid with Request swap, or from the swaps page.

Proposing a swap

Pick a colleague and a swap kind:

• Full swap — you exchange shifts; pick the counterparty’s shift within 7 days.
• Give my shift away — no return.
• Hours only — the hours move without a shift exchange.

The request sits as Awaiting response until the counterparty accepts or declines. Either party can cancel before a manager decision.

What happens after acceptance

When the counterparty accepts, the swap is evaluated against the rules:

• Auto-approved — simple swaps within the same work type with no rule breach complete immediately; the shifts change owners, and the event calls travel with them.
• Awaiting manager — swaps across work types, or ones that would breach a working-time rule, land in the manager’s approval queue. Approval completes the swap; denial stops it. Both parties are notified.

Rules per work type

Whether swaps are allowed — and whether they auto-approve or always need a manager — is governed by the work type’s swap rule under Admin → Work Types, with an optional per-group override. The history shows the last 90 days.
