The person profile

The person profile gathers everything about one person into tabs. The header shows name, title, home department, and status — plus QR sharing and the edit button for those with access. Everyone can edit their own profile; beyond that, update permission is required, either globally or for a group the person belongs to.

  • Overview — contact, work, personal details, welfare, and bio, with the edit form behind Edit.
  • Work — group memberships with role (Member or Head), work rules with a primary work type and overrides, work roles (competencies in three tiers), the leave summary, and production roles with character and department.
  • Reservations — unavailability and standing patterns. See Availability and reservations.
  • Documents — HR documents and certifications with issued and expiry dates. Expiring certifications are flagged in the people list.
  • Admin — emergency contacts and administrative information.
  • Settings — the linked login account: primary group, Send link for password setup, disabling the account, and the person’s GDPR export of their own data.

Deactivating a person vs disabling the account

These are two different things:

  • Deactivate Person (in the edit view) hides the person from active lists — planning, pickers, timesheets. Everything is kept, and reactivation is one click.
  • Disable the account (under Settings) stops sign-in, but the person stays visible and plannable. You can’t disable your own account.

Use deactivation when someone leaves; use account disabling when someone shouldn’t have access for a while but still appears in the plan.
