Event detail

The event detail is the whole event on one page: the edit form at the top, then the panels for attendees, sub-events, and cast. Everything you change here flows through to the planner and to attendees’ own schedules.

Editing the event

The form has the same fields as New event, plus two that only exist here:

  • Private event — hides the event from regular views. Only you as the creator, and users with permission to see private events, see it. Private events are marked with a padlock.
  • Attendee email for this save — decides what happens right now, independently of what the production does otherwise.

The default option follows the production, and its name tells you which way that switch is set: Email everyone called (this production’s default) or Don’t email — this production’s default. If you want something else for this one save, pick Email everyone called, with my note or Don’t email anyone for this save — the latter is how you move something quietly. Save without notifying and the confirmation says so: “Saved. No one was emailed about this change.”

Calling in attendees

The attendees panel shows who is called, with an availability badge and call time per person. Add from the people list — those already called are filtered out. With the GrandPlanner module on, you can also call in whole departments instead of individuals.

If the event has role casting, the Cast panel shows tonight’s cast per role, with the option to override individual roles.

  • Sub-events split the event into named segments — Act I, Act II — without creating extra rows on the grid. Each segment can have its own attendees; segments outside the event’s time span are flagged.
  • Rehearsal segments block out a rehearsal per scene. When you save the segments, the call list updates automatically to everyone in at least one segment — you’re told who was added and removed.

Cancelling or deleting

Cancelling sets the status to Cancelled but keeps the row — attendees see the event struck through instead of it disappearing. Deleting removes the event entirely, with a confirmation where you type the title; sub-events and calls are deleted with it.
